INEFOP is a national institute for employment and professional development

It connects people and companies with educational centers offering training and courses, as well as business consultancies, certifications, and other resources. It aims to help the unemployed find jobs and support workers’ professional development. The organization has a national presence and in the last 5 years has trained over 450K people.

Since its creation in 2008, INEFOP’s operations have been paper based, manual processes. In 2013, they realized it was necessary to incorporate technology to manage their activities more efficiently. They connected with us looking for a tech partner and soon we started collaborating on small, specific software needs. Our experience executing agile projects and the quality of our work were key aspects that secured our involvement from the beginning and have made our partnership thrive over time.

8+ years incorporating tech solutions

In 2016 we decided to go the extra mile and developed a technological backbone connecting all the systems we had previously implemented while adding new functionalities. Our goal was to implement and standardize best practices, making room for more ambitious projects that could solve bigger operative problems. This system also connects with governmental platforms to make transactions faster and generates real-time information to all organizations involved in INEFOP’s initiatives.

Since this tech backbone launch, we've set annual goals to evolve the system by adding features and integrations that bring more speed and accuracy to their processes. Some of the integrations we've implemented were with systems for managing contracts and other accountability procedures, as well as with platforms for managing course participants’ registrations.

Our first big project was the digitalization of the selection process to select educational institutions and professors for their courses. It shifted from a manual, red tape process to a digital method that makes the connection between INEFOP and potential education providers more effective.

Lacking a fast and secure way to validate student attendance, INEFOP came to us with an idea to create an app using photographs to record attendance. After analyzing different options, we decided to a Machine Learning app development by incorporating image analysis to automate and guarantee information accuracy. Today, professors use the system in their classes via a tablet or their cell phone. They take a photograph of each student, validating their attendance in only four clicks, even if they are offline.

Increased visibility with a task management module

Increased visibility with a task management module

We developed a task management tool where users check their pending and concluded activities. The system activates notifications that alert users about upcoming tasks or events and is highly adaptable to support different professions. It also connects with Metabase, a business intelligence tool that collects data and generates reports and dashboards that are simple to visualize and share. With this tool, INEFOP can evaluate their processes better and identify bottlenecks faster.

Making payments easier to track

Our latest development was a payment platform that integrates with INEFOP accountability software and brings more financial visibility to INEFOP and their providers. Through the software, educational organizations and professors that partner with the institute can send invoices and follow up on their payment processes.

The best user experience, for all users

Our biggest challenge has always been the huge variety of users: psychologists, social workers, MBA graduates, contractors and many others of all ages and locations interact daily with INEFOP’s systems. We put a lot of focus on UX to deliver solutions that are easy to understand and use by all.

Today, the INEFOP system allows the institute’s staff to track their courses, select and supervise providers, generate reports, communicate with beneficiaries and much more. At the same time, educational providers also rely on the system to keep track of their partnership in terms of payments, courses and application statuses and other tasks. Thanks to our collaboration, this institute has been better able to support their beneficiaries and has improved their quality of life thanks to faster, more efficient digital services.
